We never ask for your passwords. You add us as a user or a manager, tick each step when it's done, and we confirm it on our end. Every step has its own how-to, written so you can do it on your own, start to finish.

• Access to your domain Confirmed by us
  Your site goes live on your domain, so we need to be able to point it. Got one already? Add us as a user where you bought it, and pick where yours is below. No domain yet? You don't buy one. We register it for you in your business name, and the renewal is part of your monthly.
  How to do it

  GoDaddy

  1. Sign in to GoDaddy and go to your account settings, then Delegate Access.
  2. Under "People who can access my account", tap Invite to Access.
  3. Type TradeSmart Systems as the name, and our access email (shown here once you open your own link) as the email.
  4. For access level pick Domains Only, then tap Invite.
  5. We accept the invite from our email. It runs out after a few days, so send it when you're ready, then tick this step.

  VentraIP

  1. Log in to VIPcontrol.
  2. Tap the menu at the top right, then My Profile.
  3. Scroll to Additional Users and tap Add New User.
  4. Type our access email (shown here once you open your own link) and tap Add User.
  5. The invite lasts 3 days and we accept it from our email. Tick this step once it's sent.

  Cloudflare

  1. Log in to Cloudflare as the account owner, then tap Manage Account, then Members.
  2. Tap Invite and type our access email (shown here once you open your own link).
  3. Pick the role called DNS. If it asks which sites, pick your domain.
  4. Tap through to the summary, then Invite. Tick this step.

  Crazy Domains

  1. Log in to Crazy Domains, find your domain and tap Manage to open the Domain Manager.
  2. Open the Administration tab and hover over the Admin contact (on a phone, tap it).
  3. Tap Assign New, then pick Existing Customer.
  4. Type our Crazy Domains customer ID, shown here once you open your own link, then tap Send Assign Request.
  5. A confirmation goes to us and runs out after 48 hours, so send it when you're ready, then tick this step.

  Somewhere else

  1. Look in your domain company's account for Add user, Delegate access, Team members or Authorised users. Most have one.
  2. Add our access email (shown here once you open your own link) with the lowest level that lets someone change DNS settings.
  3. No way to add a person? Tick this step and write the company's name in the last box of the questionnaire. We email you the exact DNS records to paste into your domain's DNS page, and you do it yourself.
  4. We never need your password.

  No domain yet

  1. Nothing to buy. We register your domain for you and keep it renewed. That's part of your monthly.
  2. It's licensed in your business name and ABN, because a .com.au has to match your business. So make sure your ABN is in the questionnaire.
  3. In the questionnaire, answer "No, I need one". Got a name in mind? Type it there. If not, we suggest one and check it with you first.
  4. Tick this step. If you ever leave us, we move the domain to your own account for free.

  Got email on your domain already? We copy your mail settings first, so your email keeps working.

• Your Google Business Profile Confirmed by us
  It stays yours, owned from your own Google account. We just need to be a manager on it. Already got a profile, or need to make one? Both are below.
  How to do it

  I have one: add us as Manager

  1. Sign in to Google with the account that owns your profile, then search your business name on Google.
  2. On your profile, tap More (or the three dots), then Business Profile settings, then People and access. You have to be an owner to see this.
  3. Tap Add and type our access email (shown here once you open your own link).
  4. Under Access, choose Manager (not Owner) and tap Invite.
  5. Tick this step. We accept from our email, then do the rest: your details, services, photos, posts and review replies. It stays yours.

  I don't have one: make it yourself

  It's made from your own Google account, so it's yours from day one. About 10 minutes on your phone.

  1. Have ready: your Google account, your business name, your trade, your phone number and the suburbs you work in.
  2. Check you're not on Google already: search your business name in the Google Maps app. If it shows up, tap it, then Claim this business, then Manage now. Don't make a second one.
  3. Not there? On your phone go to business.google.com/add (or in Maps, tap your profile picture, then Add your business).
  4. Type your business name and pick your trade as the category.
  5. When it asks if you want to add a location customers can visit, say No. That keeps your home address off Google.
  6. Add the suburbs or postcodes you work in, then your phone number. Leave the website blank for now.
  7. It asks how to verify. Pick video if it's offered (the next step covers it), or use a text, call or email code if that's what it offers.
  8. Once it says you're verified, follow "I have one: add us as Manager" above, then tick this step.

  Google changes these screens now and then. If yours look a bit different, follow what it says. The words to look for stay the same.

• The Google video check Confirmed by us
  Google asks the owner to film a short video to prove the business is real. It has to be you, filmed in Google's app on your own phone. Not every business gets asked. Wasn't asked? Verified another way? Just tick this step and move on.
  How to do it

  1. Open your profile on your phone (search your business name on Google, or open it in Maps) and tap Get verified.
  2. Pick Business video. If it only offers something else, like a code by text or call, use that instead.
  3. Film it in one go: no cuts, no editing, at least 30 seconds. One to two minutes is best.
  4. Start with a street sign or landmark near where you work or park.
  5. Show your tools or equipment, a vehicle or sign with the business name on it, or your branded shirt or business cards.
  6. Prove it's yours: unlock your vehicle or workspace with your keys and show what's inside, or show your licence or an invoice.
  7. Don't show faces, other people, bank details or anything private. Then upload it.
  8. Google takes up to 5 business days. If it's knocked back, tap Review issues, fix what it says and film it again.
  9. Once Google says you're verified, tick this step.
• Where enquiries should go Confirmed by us
  Your website form and chat send new enquiries to your email. Tell us which address, and keep its login handy so you can open the test email we send.
  How to do it

  1. Put the address in the questionnaire, in the question about your email for enquiries.
  2. Pick an inbox you check on your phone every day, so no enquiry sits unread.
  3. Press Send test email above. We send one message to that inbox. Open it and tap Got it, and this step ticks itself.
  4. Can't find it? Check your junk or spam folder.
  5. Already have email on your domain? Nothing about it changes. Tick this step once the address is in.
• Your logo and photos Confirmed by us
  Add your photos and logo in the questionnaire. Videos go in right here. These become the moving backgrounds on your website, so your own real work makes the biggest difference.

  10 to 30 seconds, filmed sideways and steady, is plenty. MP4, MOV or WebM, up to 500 MB each. It goes up in pieces, so if your signal drops it carries on from where it stopped. Wi-Fi is quickest.

  How to do it

  1. Open the questionnaire above and go to the photos part at the end.
  2. Send your own real work: finished jobs, before and after pairs, you or your team at work, your work vehicle with its signage, your shop or workspace. Not stock photos.
  3. Hold your phone sideways (landscape) where you can, in good light, and use your phone's best quality setting.
  4. Pick the original photos from your gallery. A screenshot, or a photo that came through WhatsApp or Messenger, is squashed and looks blurry on a big screen.
  5. About 8 to 20 photos is plenty. Each one can be up to 15 MB. Tap Add and choose several at once.
  6. Only include a person's face if they're happy for it to go on your site.
  7. Add your logo too. No logo file? Leave that slot empty. You can add one later.
  8. Got a short video of a job? 10 to 30 seconds, sideways and steady. Tap Add a video, just above this how-to, and pick it from your gallery. It goes up in pieces, so a weak signal only pauses it, and it carries on from where it stopped. Up to 500 MB each.
  9. Tick this step once they're in. They show under Files, so you can see they went through. We check the logo and photos are big enough, and tell you here if one isn't.
• Your laptop, ready for handover Confirmed by us
  Your business manager runs on your own laptop, in your own Claude account. About 30 minutes, all of it on your laptop. Do it in order.
  How to do it

  1. Sign up for Claude Pro. Go to claude.ai and sign in with your business email. Tap your name at the bottom left, then Settings, then Billing, then Upgrade plan, then Get Pro plan. It's about $34 a month, paid by you to Anthropic, and checkout shows your price in your currency.
  2. Install VS Code, free, from code.visualstudio.com. Download it, open the file and install it like any other app.
  3. Make a folder on your Desktop called exactly your business name, then a space, then AI. Right-click the Desktop, then New, then Folder, then type that name.
  4. Download your Business Manager. It's built from your questionnaire answers, so this opens once you've sent the questionnaire.

  5. Unzip it: right-click the file you downloaded and choose Extract All. Drag everything inside, the file ending in Business Manager.md and the folder called Business Manager, into your Desktop folder.
  6. Open VS Code, tap File, then Open Folder, and pick your Desktop folder. If it asks whether you trust the folder, tap Yes.
  7. Install Claude Code: in VS Code press Ctrl and Shift and X together (on a Mac, Cmd and Shift and X), search for Claude Code and tap Install. Then open the file ending in Business Manager.md and tap the spark icon at the top right. Tap Sign in and finish in your browser with your Claude account.
  8. Select everything in the Business Manager.md file (Ctrl and A), copy it (Ctrl and C), click into the Claude chat, paste it (Ctrl and V) and type go. It sets itself up by asking you a question at a time, about ten minutes.
  9. Tick this step when it tells you setup is finished.
• Set up your phone for your receptionist Confirmed by us
  Your number doesn't change. One setting on your own mobile sends the calls you don't answer to your AI receptionist. It takes about 2 minutes, and you finish with a test call. Tick it once it's done and we'll confirm it on our end.

  Your receptionist number isn't ready yet. This step opens up when it shows here, and we text it to you as well.

  How to do it

  Each code goes into your phone's keypad like a phone number, then tap call. Where a code shows your receptionist number, that's the number in the TradeSmart Leads box above, starting with 04 or 0.

  First, if you've got an iPhone

  1. Open Settings, then Phone, then Call Forwarding, and make sure it's off. If it's on, every call skips your phone, even the ones you'd answer.
  2. In the same Phone settings, turn off Live Voicemail. It answers missed calls before your receptionist can.
  3. Turn off Silence Unknown Callers too, or new customers never get through to anyone.
  4. On an Android phone there's nothing to check first. Go straight to your phone company below.

  Telstra or Boost

  1. Dial ##002# and tap call. This clears any old forwarding, including your voicemail.
  2. Dial **004*your receptionist number**20# and tap call. That one code sends calls you don't answer, calls when you're already on a call and calls when your phone's off or out of range to your receptionist (your phone still rings for 20 seconds first).
  3. Dial *#61# and tap call to check. It should show the receptionist number.
  4. To undo it later, dial ##004# and tap call.

  Optus

  1. Dial ##002# and tap call. This clears any old forwarding, including your voicemail.
  2. Dial **61*your receptionist number*11*20# and tap call. That's for calls you don't answer (your phone still rings for 20 seconds first).
  3. Dial **67*your receptionist number# and tap call. That's for when you're already on a call.
  4. Dial **62*your receptionist number# and tap call. That's for when your phone's off or out of range.
  5. Dial *#61# and tap call to check. It should show the receptionist number.
  6. To undo it later, dial ##002# and tap call.

  Vodafone, on a plan

  1. Dial ##002# and tap call. This clears any old forwarding, including your voicemail.

  Another phone company, or a landline

  1. Vodafone prepaid, Amaysim, felix, Kogan and Lebara don't let missed calls go to another number. Moving your number to Telstra, Optus on a plan or Boost is free, and you keep your number.
  2. To move: sign up online with the new company, choose to keep your existing number, and give them your current account details when they ask. They do the transfer, usually within a day. Then come back and use the steps for your new company.
  3. On a landline or an internet phone line, sign in to your phone company's account and look for Call forwarding or Divert on no answer. Set it to send unanswered calls to your receptionist number.

  Then, a test call

  1. The easiest way: press Test my setup, above. We ring your mobile once. Let it ring out and don't answer it.
  2. Or ask someone to ring your mobile from another phone, or use a second phone yourself. Don't answer. After about 20 seconds your AI receptionist should pick up and say hello.
  3. If it doesn't, dial *#61# again and check the number it shows is your receptionist number, then repeat the codes for your phone company.
  4. Working? Tick this step.
