Who we are

TradeSmart Systems (ABN 48 688 420 229), Central Coast, NSW. "We" and "us" means TradeSmart Systems, and "you" means the business buying from us. Questions: support@tradesmartsystems.com.au.

AI receptionist

This is the AI receptionist for trade businesses. You set it up yourself in the TradeSmart portal, with the TradeSmart Help Line (02 3819 3056) included (it walks you through it, or sets it up for you when you read it your setup code, shown in your portal). There is no onboarding call. "You" here means the business buying it.

What you get. You create a free account and choose monthly or yearly; nothing is charged then. You answer the set-up questions about how your business runs in the portal (your answers save as you go), or on the Help Line. You pick the voice and how it introduces itself. Your receptionist is then built for you from your answers, and you hear it and try it in your browser before you pay. When you approve it and pay, it gets its own phone number and goes live, and you forward your missed calls to it. Then it answers the calls you can't get to, as your business, takes the job down (what the job is, how urgent, the suburb, the caller's name and number, read back) and puts it in your TradeSmart portal when the call ends, with a ping to your phone. It sorts the calls (new jobs, existing customers, mates and family, and sales calls), never quotes a price or a time for you, and tells callers it's an AI if they ask.

What the monthly covers. Your receptionist answering the calls you forward to it. You make changes yourself in the portal, or through the Help Line.

Price. $299 a month, month to month, no lock-in. Or pay yearly: $2,990 a year. That's two months free. There is no set-up fee on either, and no free trial. The same prices for everyone. TradeSmart Systems isn't registered for GST, so no GST is added.

7-day money-back guarantee. Monthly or yearly, you have a 7-day money-back guarantee. Cancel within 7 days of your first payment and we refund it in full: $299 on the monthly, $2,990 on the yearly. After that, the monthly is month to month: if you cancel, it stops at the end of the month you've paid for. The yearly runs to the end of the year and won't renew if you cancel. This doesn't limit your rights under the Australian Consumer Law.

Call minutes. 200 call minutes a month are included, monthly or yearly. After that, calls are 60c a minute.

When you pay. Nothing is charged until you have heard your receptionist and approved it. Then you pay by Stripe, and your receptionist gets its own phone number and goes live. Monthly: your first $299 is charged when you pay, then every month on that date. Yearly: the full $2,990 is charged when you pay.

The agreement. How you cancel is written in a one-page agreement that you read before you pay anything. It links to these terms. You tick I agree on that page, and we record that you agreed, before you pay. Your rights under Australian Consumer Law are not affected.

The phone numbers. The receptionist's phone number is ours, so it stops when you cancel. Your own business number was always yours; you just switch the call forwarding off.

Recording. Calls your AI receptionist answers are recorded, and its greeting says so.

Website

This is the website for trade businesses. You can have it on its own (Website alone), or with the AI receptionist (Receptionist + Website). You buy it in the TradeSmart portal: create a free account, pick your plan, read the one-page agreement and pay. This section covers both plans, and "you" here means the business buying it.

What you get. We design and build a website for your business from your answers to the questionnaire on your private page, your logo, and your own job photos and videos. It's fully SEO-optimised, and the AI chatbot is included on it: its AI use is part of your plan, within fair-use limits, and the chat answers visitors' questions only from the facts about your business that you check and approve, never quotes a price you haven't chosen to show, tells visitors it's an AI if they ask, and emails you the enquiry when someone wants a job done. Your Home page opens on a short film made by AI from your photos: it looks like your work, but it won't match your photos exactly. On a Standard website your other pages are clean and simple, without the film; on a Cinematic website every page is cinematic. Every page is built to load fast. Then we host it and keep it working. On Receptionist + Website, changes come under features on request (below): ask in your portal, ring the Help Line (02 3819 3056) or email us. On Website alone, we make up to two small changes a month to the pages you already have (words, prices, hours, photos, a service or a button). Unused changes don't carry over. On Website alone, new pages and bigger work are quoted as a one-off job.

Receptionist + Website. $349 a month, month to month, no lock-in, plus your website build, once: $500 for a Standard website or $1,500 for a Cinematic website. Or pay yearly: $3,490 a year with a Standard website, or $4,490 for your first year with a Cinematic website ($3,490 a year, plus $1,000 for the build, once). Paying yearly is two months free and takes $500 off your website build. It includes the AI receptionist (see AI receptionist, with 200 call minutes a month, then 60c a minute), your website's hosting and care, the AI chatbot on it (included), and features on request. The receptionist part works exactly like the AI receptionist on its own: you hear your receptionist before you pay, and on the monthly your first $349 is charged when you check out.

Website alone. A $500 website build, once ($1,500 for a Cinematic website), then $99 a month for hosting, care, the AI chatbot on it (included) and small changes. Month to month, no lock-in. Or pay yearly: $990 a year with a Standard website, or $1,990 for your first year with a Cinematic website ($990 a year, plus $1,000 for the build, once). Paying yearly is two months free and takes $500 off your website build.

Your website build. You choose one when you buy. Standard website: a $500 build. A cinematic Home page: a film made from your own job photos that plays as you scroll. Up to 6 pages; extra pages are $75 each. Cinematic website: a $1,500 build. Every page cinematic: each one a scroll-through film made from your job photos. Up to 8 pages; extra cinematic pages are $150 each. Paying yearly takes $500 off your website build: Standard is free, Cinematic is $1,000. Your first version is on your private page within 5 business days of getting your photos and answers for a Standard website, and within 10 for a Cinematic website. Both come with two rounds of changes, and the same refund rule: your build is refundable until your first version is delivered.

Features on request. On every AI receptionist plan, with or without the website: ask for a feature. If it helps your business, we build it at no charge. Anything that costs us per use, like extra minutes or texts, you pay what it costs us.

The website build. Your website build is paid up front. It's charged at checkout. After you pay, you fill in the website questions and send your photos and videos in your portal, and we start building as soon as those arrive. Your first version is on your private page within 5 business days of getting your photos and answers (10 for a Cinematic website), and you can ask for changes there. Two rounds of changes are included. It goes live on your domain once you approve it.

If you cancel before your first version. Your website build is refundable until your first version is delivered. Cancel before then and we refund the build in full ($500 Standard, $1,500 Cinematic, or the $1,000 you paid for a Cinematic on the yearly). Once your first version is delivered, the build isn't refundable, and your two rounds of changes still come. Delivery of the first version is what counts, not your approval of it.

7-day money-back guarantee. Every website plan has a 7-day money-back guarantee, monthly and yearly. On the monthly, cancel within 7 days of your first payment and your first month ($349, or $99 for Website alone) is refunded in full, and your build too if your first version hasn't been delivered yet. Paying yearly? Cancel within 7 days and you get your money back, minus the full price of your website build ($500 Standard, $1,500 Cinematic) if your first version has already been delivered. After the 7 days, the monthly is month to month: if you cancel, it stops at the end of the month you've paid for. The yearly runs to the end of the year and won't renew if you cancel. What we need from you. The questionnaire, your logo, your job photos and videos, and, when we ask, access to your domain so your site can go live on it.

Your domain. A domain you already own stays yours; we're just added to it so your site can go live. No domain yet? We register one for you, in your business's name, in our account, and your monthly plan covers its renewal.

Price. The same prices for everyone. TradeSmart Systems isn't registered for GST, so no GST is added.

The agreement. When you pay, when the monthly starts and how you cancel are written in a one-page agreement that you read before you pay anything. You tick I agree on that page, and we record that you agreed, before you pay.

If a payment fails. If a monthly payment still isn't paid after 14 days, your site shows a simple "back soon" page until it is. Pay within 60 days and your site is back straight away. After 60 days unpaid, we treat it as you leaving.

If you cancel. If you cancel, your website stays up until the end of the period you've paid for. Want to keep it? We'll hand over your site files and help you move it to your own hosting, at no charge. A domain we registered for you moves into your own account. From then on you run it, and its running costs are yours.

AI chatbot

We also set up an AI chat for the website you already have, if you want one. There's no Buy button: you ask us about it by email or text. This section covers it, and "you" here means the business buying it.

What you get. We set up an AI chat for your website. It answers visitors' questions only from the facts about your business that you check and approve. If the answer isn't in those facts, it says it isn't sure. It never quotes a price you haven't chosen to show and never books a time for you, and it tells visitors it's an AI if they ask. When someone wants a job done, it takes their name, number, suburb and the job, and emails it to you. You add one small piece of code to your website (a chat in the corner of every page, or a chat box on a page where your website plan needs it), with simple steps for your platform, or you give us access and we add it, and we test it before your customers see it. While you pay the monthly fee, we keep it running, fix it if anything breaks, and update its facts whenever your business changes, as often as you need. Each month we send you a short note of its chats and enquiries.

If it won't go on your website. We check your website before you pay. Where a website plan doesn't allow a chat on every page (for example free Wix plans, Google Sites and GoDaddy's website builder), it goes on as a chat box on a page instead. Where a plan allows no code at all (free WordPress.com, free Webflow and Squarespace Basic), it goes on once you move up to a plan that does. If it still won't go on after you've paid, you choose: your $99 set-up back, or $99 off a website from us.

AI use. The chat's answers come from Claude, by Anthropic, and we run that side for you, so you don't need an AI account of your own. Its AI use is part of your $49 a month. If it's ever used far beyond normal, anything that costs us per use, you pay what it costs us.

Price. $99 set-up, then $49 a month. TradeSmart Systems isn't registered for GST, so no GST is added. Month to month, no lock-in.

Money-back guarantee. 7-day money-back guarantee on the $49 a month: cancel within 7 days of your first $49 payment and we refund it in full. The $99 set-up is refundable until your chatbot is live on your website. Once it's live, the set-up isn't refundable.

The chats. Visitors' messages are processed by Claude, by Anthropic, to write the replies. When a visitor leaves their details, the enquiry is emailed to you (and lands in your Leads in the TradeSmart app, if you have it).

Refunds

There are no change-of-mind refunds, apart from the 7-day money-back guarantee on every plan, the AI chatbot included (see AI receptionist, Website and AI chatbot), your website build if you cancel before your first version is delivered (see Website), and the chatbot's $99 set-up until your chatbot is live (see AI chatbot). Nothing in these terms takes away your rights under the Australian Consumer Law.

Other people's services

Google, Claude and any other outside services are run by those companies, on their own terms. We can't control whether Google approves your profile, or where you show up in search.

The legal bits

As far as the law allows, our total liability for the package is limited to the amount you've paid us for it. These terms are governed by the law of New South Wales.
